Job Overview

Reports to: the HR / Administration Administrator
Key Responsibilities
Compliance
- Contribute towards promoting and adhering to Tearfund’s Purpose, Basis of Faith, Core Values and Operating Principles
- Act as the first point of contact to the Nairobi Office in core office hours, ensuring other staff provide cover when not in the office
- Receive visitors to Nairobi Office and assist them as necessary
- Deal with all official and personal telephone inquiries
- Receive incoming phone calls and transfer them to staff as appropriate
- Facilitate making of out-going non-local and mobile phone calls for all staff.
- Receive and dispatch deliveries
- collection of post and delivery to staff
- Collection of parcels from the post office
- Delivery and collection of items from suppliers, and government offices
- Assist the staff in photocopying documents when required
- Assist staff in document filling when required
- Any other duty as maybe assigned by your line manager or his/her designate
- Keep the office clean and tidy, including cleaning floors, dusting furniture and windows etc, and emptying rubbish bins each day
- Keep the kitchen and utensils tidy and clean at all times
- Ensure water dispenser is clean and has clean drinking glasses at all times
- Provide catering services during meetings carried out within Tearfund offices / conference room
- Keep accurate records of kitchen / cleaning consumables and ensuring timely restocking
- Submit procurement request to logistics function for kitchen consumables required for the office keeping within the designated budget
- Elementary or High school leaver with relevant experience
- Certificate in business administration or hospitality
- Relevant or related working experience for 1 year
- Experience in front office activities/management
- Previous experience in working for an INGO or a busy setting
- Good organizational skills
- Managing a household budget
- Good written and verbal English communication skills
- Excellent team player
- Ability conduct basic clerical and/or manual work
- Conscientious and reliable
- Proficient in Microsoft Office
- Good customer care and telephone etiquette
- Cheerful, welcoming, flexible
- Committed Christian with a personal relationship with God
- Committed to regular Christian fellowship with other Christians
- Christian motivation in relation to injustice and serving those in need.
- Emotionally & spiritually mature
- Excellent interpersonal skills, an approachable working style, sensitivity to the needs of others
- Ability to remain calm under pressure
