Position Title: Junior Finance Assistant
Contract Type: National Personnel Project
Organizational Unit: FAO-Somalia
Duration: 3 Months, with possible extension
Eligible Candidates: Kenyans
- Play an operational and Office Assistant role to FAO programmes and subjects and projects and performs a variety of administrative functions of the officer.
- Analyze payment workloads by project and maintain the petty cash account for the OSU.
- Develop and maintain the payment schedule to ensure as even a distribution as possible of payments throughout the month.
- Receive money vendor invoices, follow up directly with concern staff members on all outstanding of more than 30 days and arrange the salary recovery after 90 days.
- Operate GRMS (Global Resource Management System) financial transactions on the Oracle Based Enterprise Resource planning system for FAO.
- Manage payroll deductions for UNSACCO and medical insurance premiums.
- Manage the UNHAS account and corresponding cash book.
- Manage Accounts Payable and Accounts receivable
- Manage payment and Recovery of salary and operational advances
- Act as a focal point between the bank and the office
- Perform Bank reconciliations and prepare cheques and Bank transfers
- Maintain the filling system of technical and administrative documents and correspondence.
- Perform other related duties as required.
Minimum requirements:
Education: Secondary school education. Bachelor’s degree in Finance, Accounting or Commerce will be an advantage.
Work Experience:
- Two years of clerical, administrative or accounting experience.
- Strong skills in basic computer packages-Knowledge in Word, Excel, Access, and Oracle .
- Working knowledge (level C) of the FAO official language used for communication within the country (English, French or Spanish) and working knowledge of the local language (Kiswahili) is required.
- Ability to effectively use standard office software, such as MS Office (Windows, Word, Outlook, Excel, Exchange) etc.
- Ability to use accounting software and other information systems and databases to insert data, make enquiries, retrieve/define ad hoc reports and analyses and edit results in appropriate format.
- Systematic, well structured and efficient approach to work assignments.
- Analytical ability, accuracy and consistency.
- Exercise diligence and care in dealing with records and expenditures.

Position Title: ICT Assistant

Under the overall supervision of the FAO Somalia O.i.C, and direct supervision of the FAO Somalia ICT Manager the incumbent will perform the following duties:
As part of the FAO Somalia Help Desk Team:
- Ensure day-to-day functionality of all computing resources are in working order and liaise with administration to ensure accessories and consumables are available for timely replacement
- Upgrade application software to ensure highest productivity and troubleshoot and resolve software problems and assist FAO staff to customize and automate routine tasks.
- Monitor, troubleshoot and resolve internet/e-mail connection connectivity problems and upgrade network hardware and software to ensure utmost productivity.
- Carry out regular data backup on client and server machines.
- Support development, testing, error checking and deployment of in-house software.
- Support development, testing, error checking and deployment of the FAO intranet.
- Maintain a wireless network for internet connectivity for visitors in selected common and meeting areas ensuring proper usage at all times.
- Ensure that the software for all security systems and call logging are functioning properly at all times.
- Ensure that all shared network resources such as printers, plotters, scanners, CD writers, etc are in working order and liaise with administration to ensure all the appropriate back up stock of accessories and consumables are available for timely replacement.
- Assist staff with software problems and queries, including customizing and automating routine tasks using macros and other built-in features, and upgrade application software as necessary to ensure highest productivity.
- Change daily data backup tape and escalate failure incidents to the ICT Officer for remedial action.
- Collect and process antivirus status and logs from clients and servers for the monthly security status report.

Minimum Requirements
- Bachelors Degree in Computer Science or any ICT related Degree
- Two (2) years of IT support experience
- Ability to develop and implement work plans.
- Good judgment and ability to organize office work and prepare correspondence on own initiative;
- Team player with good interpersonal skills;
- Ability to work effectively with people of different national and cultural backgrounds;
- Systematic and efficient approach to work assignments with good judgment and problem-solving ability;
- Ability to work under pressure and work extra hours to meet deadlines;

Selection Criteria
- Demonstrated skills in IT Support;
- Extent of computer Skills;

Position Title: Driver

- Drive the country office staff and their official visitors on official trips, and drive for the O.I.C. FAO Somalia and his/ her visitors on occasions as necessary.
- Meet staff and official visitors at the airport; facilitate immigration, customs formalities, hotel check-in, and other local formalities.
- Log official trips, daily mileage, gas consumption, transportation / vehicle related expenditures, vehicle servicing, repairs, etc.
- Ensure day-to-day maintenance of the assigned vehicle(s); checks oil, water, battery, tires, etc.; perform minor repairs and timely arrange for any other repairs necessary to keep the vehicle safe and technically sound at all times; maintain the vehicle(s) in clean conditions.
- Handle local and organizational formalities when involved in an accident; ensure that in this case all organizational and local / country rules, regulations and procedures are followed correctly.
- Collect and deliver mail, documents, pouches, and other communications / items from and to the country office; go to the post office, airport, government agencies, other UN agencies, institutions, project sites, etc., to take and deliver items and communications; keep records as required.
- When needed, assist the country office staff in performing simple clerical duties such as making and answering telephone calls, making photocopies, keeping records, etc.
- Perform other related duties as required.
Minimum Requirements
Education: Primary / secondary education. Possession of valid driver’s license.
Work Experience: Two years of work experience as a driver. Flawless, safe driving record.
Languages: Good knowledge (level B) of English and working knowledge of the local language (Kiswahili) is required.
Knowledge and Skills:
- Good knowledge of the local driving rules and regulations; skills in minor vehicle repair.
- A high degree of punctuality and reliability is required.
- Safe driving manner. Good sense of direction and knowledge of local conditions.
- Ability to cope with extended working hours.
He / she interacts on a day-to-day basis with personnel and officials from local offices and service providers.
