Administrative & Finance Assistants at Education Development Center (EDC)
Organization and Program Overview: Founded in 1958, Education Development Center (EDC) is an international nonprofit organization that works to build bridges between educational research, policy, and practice.
Under the new project identity of YYC! NEP, EDC will adapt the YYC approach for the context in North Eastern Province, coordinating with YYC! National, YYC in other regions, and national and county youth boards to replicate successful strategies.
Position Title: Administrative & Finance Assistant (2 positions, Wajir & Mandera)
General Position Summary: The Administrative & Finance Assistant is responsible to perform assignments and support all YYC! NEP activities including administrative tasks, meeting coordination and scheduling, travel arrangements, other support services as required as well as basic financial duties, including disbursements, banking, financial information data entry, inventory control and financial records management.
This position reports to the Program Specialist and works closely with the Finance and Administrative Manager, Grants and Investment Officer, Youth Engagement Associate Manager and the Project accountant.
Essential functions include [but are not limited to]:
- Work closely with Program Specialist to undertake mobilization of youth at the village level through teams, being sure to recruit youth by working through local youth, community leaders and local associations; ensure diversity of youth mobilized and inclusion of disabled youth
- Assist in identifying volunteer resources needed for mobilization activities;
- Gather and adapt necessary materials needed for mobilization including (but not limited to) flyers, bunge bylaw and constitution templates, and other informational materials’
- Provide guidance on bunge registration and keep data on registration;
- Manage liquidation & retirement of all advances
- Handle Petty cash
- Verify and validate office financial documentation regularly
- Conduct bank transactions
- Maintain accounting documentation in an orderly manner
- Verify travel advances and review travel expense reports
- Manage asset register and update the inventory records
- Assists in making payments to workshop participants
- Identify venues for training and meeting
- Fill in tax and duty exemption Forms based on vendor pro-forma invoices.
- Processing of vendor payment documents and submit to Finance
- Prepare minutes of meetings convened or attended by project management.
- Provide administrative support to Program Specialists in creating correspondence, coordinate appointments and travel schedules.
- Diploma or equivalent with 2-3 years relevant experience, preferably 1-2 years of accounting experience with international projects and knowledge of administrative functions.
- Advanced skills in Excel and word;
- Experience using accounting systems, preferably QuickBooks
- Experience working with USAID funded projects preferred;
- Ability to work in ways that allow community members to contribute to the process
- Experience in working with teams of staff, local communities.
- Excellent organizational skills.
- Flexibility and ability to juggle multiple tasks and prioritize duties.
- Strong interpersonal and communication skills.
- Ability to work independently and as a team member.
- Fluent in English, Garre and Somali
- Residents of Mandera & Wajir is preferred.
