Stores Officer
Purpose of the Job
Reporting to the Finance Officer, the incumbent will be responsible for overseeing of all stores and accountancy activities while ensuring efficiency, accuracy, timeliness and security of all inventory held in stock.
Key Duties and Responsibilities
- Checking, controlling and verifying stock movement in and out of store while ensuring it is all well documented.
- Monitoring physical stocks movement and keep accurate record of the same.
- Generate stock reports on bi-weekly basis.
- Enforcing security measures to the stores to prevent any potential theft.
- Verify and receive incoming goods of acceptable quality from production workshop and component suppliers.
- Ensure that identification, classification and coding of all stock items is done promptly.
- Maintain a computerized record of all stock receipt and movement.
- Set stock levels of all stock items by looking at the usage trends and future needs by ensuring the minimum stock and reorder levels are maintained and reviewed according to consumption.
- Raise requisition for replenishment of stock according to re-order level and quantity policies for each item.
- Advise the Finance Officer on disposal of obsolete and scrap materials.
- Organize, coordinate and participate in stock takes and provide record of balances to compare with physical balances.
- Produce monthly stock charges to consumer departments/projects.
- Follow up and expedite orders from suppliers while advising various departments accordingly. Maintain records of serviced LPOs.
- Generating Goods Received Notes (GRN), recording and forwarding them to the finance department for processing of invoices for payment.
- Prepare goods for dispatches to various partners/customers.
- Monitoring suppliers’ performance and making necessary recommendations to the Finance Officer.
- Prepare timely and accurate reports on delivery of all items on weekly and monthly basis.
- Ensure the maintenance of general cleanliness and orderliness of the store.
Qualifications and Competencies
The ideal candidate should have
- a Bachelors’ Degree in Commerce, Business Management or Business Administration from a reputable university. Diploma Holders with at least 3 years’ experience will also be considered, but must possess basic accounting knowledge.
- Degree Holders must have at least one (1) years of relevant work experience.
- Experience in Purchasing, Logistics or Supply Chain Management, with proven skills in record keeping and inventory management.
- Have knowledge and experience in stores controls as well as stock tracking.
- Able to work well even under pressure when occasional situations demand, ensuring that a given assignment is accomplished
- Have IT skills especially in the MS Office Suite. Experience in inventory management software will be an added advantage.
- Be a person of integrity, honesty and a team player with the ability to work with minimal supervision.
