Duties and responsibilities for the Office Administrator

1. Assist Project Manager to coordinate the marketing of our commodities through the marketers by:

  • Support field staff with events preparation by printing the necessary materials and ensuring that all logistics are made on time
  • Maintain stock records and ensure that stock cards are properly countersigned by Manager.
  • Maintain up to date database of all Points of Sale and Product champions
  • Support in follow up activities following events in collaboration with the marketing team
  • Liaise with associates and partners of different actions as directed by the senior management team
  • Respond to enquiries as appropriate and book meetings for new Customers with relevant staff
  • Maintain a log of claims and complaints and ensure the same are addressed within 14 days.
  • Prepare monthly reports and forward the same to management review meeting.

 

2. Assist the project manager to keep in touch with the marketers in the field to find out their progress and if they require products or other resources like receipt books, stationery and so on.

3. Maintain the stock records up to date on everything around the office and in the field.

4. Maintain organization and general administrative work for both Boma Safi and React Africa by:

  • Answer the office telephone professionally and respond to calls appropriately.
  • Maintain weekly activities schedules and support staff on logistical arrangements to enable success of their activities’.
  • Submit monthly office activity report during monthly management meetings; attend the meetings and take minutes of the same.
  • Supervise and coordinate activities of junior staff; including drivers, cleaners and other contractors
  • Provide secretarial or executive services for committees
  • Manage all itineraries for internal and external visitors
  • Maintain an up to date contact list for all projects
  • Procure stationery and ensure that office runs efficiently.
  • Maintain office hygiene
  • Ensure lunch and teas are availed for staff on time and supervise the weekly menu.

5. Write minutes of every internal meeting or on call by the MD.

Qualifications Certificate or Diploma in Business Administration/Business Management with over 3 years’ experience
