SUMMARY:

Job Objective:                                                             

To fully support the Executive by proactively managing the assigned executive’s diary, and seamlessly plan his/her itinerary, schedule and meetings. You will have the ability to remain calm under pressure and exceptional communication skills, working well across functions and at all levels within and outside the company.

 PRIMARY RESPONSIBILITIES:

  • Manage the day-to-day administration of the Executive’s office and diary.
  • Develop and maintain an effective & efficient documentation and filing (electronic and hard) process and organize the Executive’s internal and external designated correspondence.
  • Efficiently organise bookings, planning itineraries, and acting host for official guests to the Executive’s office.
  • Manage agendas of meetings, produce memos of such for review and proactively follow up on actions.
  • Manage sensitive matters and information regarding peculiar issues within the function, liaising with Managers and other functional heads as necessary.
  • Cross-examine documents for the Executive’s review to ensure quality control and compliance to policies.
  • Collate daily, weekly and monthly activity reports as required from for the Executive’s review.
  • Coordinate/render general administrative services in the function e.g. archiving, ensuring seamless provision of utilities and supplies (stationery etc), reporting of defects, etc.
  • Process all requisitions for the Executive’s office such as travel related expense claims as required.
  • Respond to queries and requests on non-technical issues and escalate to the Executive where necessary.
  • Ensure & coordinate relevant & adequate logistics for the Executive and other events connected to the Executive’s office.
  • Make efficient travel arrangements as required for the Executive’s office.

 

SKILLS AND CERTIFICATION:

  • Must be an Ethiopian National
  • Degree/Diploma
  • Proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook (calendar management in particular across different time zones)
  • Organisational awareness & knowledge

 

EXPERIENCE:

  • 2/3 years experience in an administrative capacity in a corporate/international company
